Dear BCS customer

Sincerely thank you for your consistent trust and support for my BCS certification. At the beginning of the new year's certification, we, as the certification body, like other certification bodies, must make some adjustments to the certification procedures according to the recognition requirements. Therefore, we hope you can actively cooperate and immediately implement the following new regulations.

1. Certification of multi-level projects:

1.1 If the project you apply for certification in BCS involves multiple independent enterprises (that is, these enterprises are legally independent compared with your company), each independent enterprise is required to sign a separate certification contract with BCS.

For example, if a domestic export/foreign import enterprise has applied to BCS for a complete organic supply chain certification project, which includes an agricultural planting project (raw material supplier) and a processing plant, the project involves at least three independent enterprises (including domestic export enterprises).

1.2 For each enterprise that needs certification, it is required to submit a separate certification application, an organic production system description, and sign a certification contract.

1.3 The quotation can only be made after the certification application is submitted; The certification contract and organic production system description must be filled in and signed before the inspection and submitted to BCS China.

1.4 As the project applicant, your company has the responsibility to urge your entrusted (planting or processing) enterprise to carefully fill in the above materials, sign and submit them to BCS China in a timely manner.

1.5 If every enterprise involved in the organic supply chain of your company has obtained BCS certification last year and will remain unchanged this year, before the inspection this year, each enterprise needs to submit a new certification application, an organic production system description, a supplementary or renewed certification contract. The certification price will remain unchanged.

1.6 If your company's organic supply chain changes and you need to re apply, we will make a new quotation according to the application content.

1.7 As the applicant of the project and the certification fee payer of all relevant enterprises (other enterprises involved in the organic project of your company), you will obtain copies of all certificates in all aspects of the project you are applying for.

1.8 The description of your company's organic production system must include the detailed flow chart of the organic supply chain of the project. The flow chart must include the names, addresses, business scope (activities in organic projects), product names or varieties involved, and relationships among enterprises involved in the organic supply chain.

1.9 BCS will issue an organic certificate to each enterprise in the organic supply chain. The organic certificates of these enterprises entrusted by your company to BCS for inspection and certification will include the following contents:

“Marketing/Final Sale exclusively by <Your company name>, <country>”. "Only sold through XX company (=project applicant, i.e. your company) in XX country", which can ensure that you, as the project applicant, have the exclusive right to sell the certified organic products.

If an export agent company is applied for certification, the certificate issued to the export agent company will include the following contents: "limited to the sale of organic products of XX company (=project applicant, i.e. your company) in XX country".

2. Certification of small farmer groups

2.1 If the organic raw material base applied for certification for your company is a small farmer group with an internal supervision system, as a small farmer group, the basic requirements are:

L Small farmers' groups must be organized consortia, such as in the form of cooperatives or production communities, and the products produced must be uniformly supplied or sold. If your company has signed a cooperation agreement with each farmer, each farmer needs to be certified separately, so it cannot be certified as a small farmer group.

L Your company and small farmer groups must sign a supply and marketing agreement, which must specify:

1) All farmers in the small farmer group are obliged to comply with the relevant provisions of the corresponding organic standards.

2) Your company is responsible for purchasing the products of small farmer groups.

The sample of the supply and marketing agreement should be used as an attachment to the description of the organic production system submitted to us by your company. During the certification inspection, the inspector will verify whether the supply and marketing agreement has been signed and whether the content is consistent with the submitted sample agreement.

2.2 For this small farmer group, we will issue an organic certificate, and your company will obtain a copy of the certificate. The organic certificate will include the following:

“Marketing/Final Sale exclusively by <Your company name>, <country>”. "It can only be sold through XX company (project applicant, i.e. your company) in XX country", which can ensure that you, as the project applicant, have the exclusive right to sell the certified organic products.

2.3 Highlight: If your company has signed a cooperation agreement with each farmer in the base, but there is no organization between farmers, it cannot be regarded as a small farmer group certification. We must conduct separate certification inspection, write inspection reports and issue certificates to each farmer. In this way, the costs of both parties will increase significantly.

BCS will immediately implement the new certification procedure. Because it covers a wide range of areas, please implement it immediately according to your own situation, so as not to affect the certification and certificate issuance in the new year.
